Proceeds from September's Adler Planetarium Celestial Ball gala in Chicago went to benefit educational programs. Proud teen participants of those programs circulated to tables as so-called 'science sommeliers.' Guests could pick from a list of experiments and activities printed on the backs of their menus, and the budding scientists would perform their choice tableside. For example, 'Touch Another World' allowed guests to hold pieces of meteorite in their hands, and “The Starry Messenger” allowed guests to look through refracted lenses.

Here's an idea for a thematic viewing area: In 2012, the N.F.L. threw its first fan-focused Super Bowl party in Canada. Sponsored by Bud Light, Toronto’s party took over Sound Academy. On an Astroturf carpet marked with yard lines, tall stools and tables made up the main seating area. A retractable screen was lowered over the stage while the game was on.

3-D Projection Mapping

The show featured elaborate projection mapping on the floor of the stage. The Warner Brothers International Television Distribution gala in 2012 filled a Burbank, California, lot with digital mapping by Bart Kresa Design, costumed entertainers, and an array of pyrotechnic stunts and decor. Aerialists from Lucent Dossier entertained from above the party space. Companies like Obscura Digital, Ninjaneer Studios, and Media Stage have also created such visual displays on existing buildings.

The set of Perry's performance also featured an elevated stage that had flooring lit up with vibrant lights. For a similar look, Energy Floors offers human-powered, interactive dance floors for event rental worldwide. The eight-inch-deep tiles each house small generators; the tiles compress when stepped on, activating the generators to convert the kinetic energy produced by the dancers into electricity. The power can be used to activate the colorful LED light tubes inside the tiles that respond to the movement of dancers or nearby electrical systems.

Think of the Event Entrance as an Airport Landing
Think of the Event Entrance as an Airport Landing
One of the very best gourmet food events I ever attended was the Relais & Chateaux Grand Chefs dinner, which featured 60 chefs from around the world. I had no idea who Herb and Karlitz & Company were when I attended. But I do remember the event being sublime from almost every point of view, including the entry tent, which was both beautiful and efficient. I asked Herb for his point of view about event entries. “I liken the experience of landing at an airport: check-in and coat check can be a real drag, so why not make it as pleasant as possible,”  he explains. “First off, always overstaff both check-in and coat check. You can always shift them later if you don’t need them, but a wait at either can ruin the guest’s entry experience and will color their whole perception of the event. And why not bring a tray of champagne out front or serve them some appetizers?”

Instead of hosting a show at the Mercedes-Benz Fashion Week tents in 2011, Lacoste hosted a dinner for 40 at its Fifth Avenue store. The Manhattan space was under construction, so the apparel brand dressed it up with a stained and varnished plywood table under the exposed ceilings and wires, and marked chairs simply with numbers instead of place cards.
