Whether you need to attract potential sponsors, create buzz on YouTube, or simply document an event, here are a few companies planners turn to for all forms of digital media.

Sarah Storrs, director of special events for BET Networks, says she often uses video at events to promote upcoming shows, to highlight public-affairs initiatives, or as an “ambience and energy tool” to keep guests busy until the headliner arrives to perform. Although the network has an in-house production team, she also works with freelance videographer Mel Henry to record footage of BET events for archival and sales purposes. “He’s much more of an artist than just a guy with a camera,” she says. “He understands lighting and the effects we’re looking for in the finished product.”Barbara Logan, vice president of meetings and events for the Travel Industry Association, frequently uses full-service production company Innovative Event Production. “They can be counted on to do a great job; they’re calm under pressure and have a high-quality staff from top to bottom,” she says. For the T.I.A.’s annual International Pow Wow—a travel industry trade show—I.E.P. captured footage of the five-day event and edited the clips with video of other T.I.A. functions for a longer finished product complete with branding. “We’ll use the video to show our board of directors and membership what we’ve done over the year,” she says.

Last year, Caroline Bedinger, director of special events for the Folger Shakespeare Library, incorporated video into the library’s annual gala for the first time. She turned to video production company G.V.I. to create a nine-minute film on the history of the Folgers for its 75th anniversary. “G.V.I. has a unique talent for translating clients’ core values and messages into compelling films for all kinds of audiences,” she says. “Using archival photos, period music, and interviews with staff, G.V.I. captured the story of our founding with such charm and verve that our guests left the gala feeling personally connected to the Folgers and their library.” Attendees screened the video at the gala and went home with a copy on DVD.
