Mayo and her team of five generated the layouts—which are preapproved by the fire department, eliminating last-minute holdups—using laser measurements, always with the goal of maximizing capacity. The layouts are distributed in PDF format and feature clickable menus that allow planners to add tables, chairs, risers, stages, podiums, and more in several different positions. Since launching the program nearly five months ago, Mayo has shaved a day off her load-in and setup schedule because the layouts require few changes and have eliminated last-minute surprises. “If planners get their specs to us in a timely manner, we can have the rooms set up and ready for walk-through when they get here, which has definitely surprised a few of our clients so far,” Mayo said.
Plans to launch customized CAD layouts for the convention center’s exhibit halls are in the works, and Mayo believes they’ll be available later this year.
