Ditch the Multiple Spreadsheets and Create Event Run Downs in Real Time

Rebecca Pappas
December 8, 2015

The production cue sheet, technical agenda, show flow, and day schedule are all different names for the same document: the event run down. It is a document that Alice Perlmutter, a veteran producer and stage manager specializing in corporate events, broadcast, award shows, and press events, is more than familiar with. She understands the run down is a must for event planners, especially when working with hotel vendors or when the event has audiovisual production needs.

Like so many people, Alice had been using Excel and paper for her production cue sheets and rundowns since day one.  But, it’s a real challenge trying to keep one’s team and documents up to date by saving and distributing version after version. This can result in major communication fails and too often leads to misfired cues or worse—the loss of a client.

"I had heard about Shoflo over the past years and was excited to see how it helped in the planning and production workflow. I found myself more engaged with the cue sheet than usual because I knew it was always up to date," Alice said. Shoflo is an Orlando-based, event software company that offers a way for the event planner and production teams to create, rehearse, and execute production cues together in real time.
By using Shoflo, Alice's team was able to make last second changes and know that everyone on the production and tech team had seen them. It also helped her to drastically reduce the amount of noise on her headset and paper waste from endless reprinting.

Shoflo also offers specialized industry features like timers, personalized views, and show caller tracking. The entire crew tracked Alice live as she advanced from cue to cue during rehearsals and on the day of the show. This can be done from anywhere, on any device, and the most recent information is always available. "I didn't have to keep telling people where we were. If the crew wanted to know who was on stage they looked to their Shoflo, which was tracking me. It made my job easier, which is not an easy thing to do," Alice said.

"When it comes to managing scripts, run downs, and production schedules, we really are the ideal option.  Meeting planners and production teams are increasingly challenged to manage the rapid change and complexity of live events, all while trying to achieve sustainability initiatives. Not only does Shoflo help reduce paper waste, we make your show life better with a real time digital cue sheet," said Stephen Bowles, founder of Shoflo.
