Loopd
Loopd

Loopd is a system that uses Bluetooth low-energy beacons to provide a variety of location-tracking tools for planners and attendees. Beacons placed around the event communicate with chips the attendees wear on a lanyard. As guests visit exhibitor booths, attend education sessions, and meet other attendees, the system tracks those movements and saves the information. At any time, guests can log into the Loopd app to see a history of those interactions, as well as receive marketing materials from exhibitors they visited. Booth staff also receive traffic information and can follow up with attendees. For networking, users can tap their badges together to share their contact information; otherwise the system will automatically collect data when two people are standing near each other for a predetermined amount of time. Planners receive real-time information about traffic flow and also data regarding retention, engagement, dwell time, and amount of connections made for attendees and exhibitors.

Speecheo
Speecheo

Speecheo is a new online tool for presentations designed to make it easy for audience members to take notes and also reveal to speakers and planners the most popular parts of their presentations. Attendees can view presentation slides and materials on their mobile devices and take notes alongside them. They can also capture audio and create bookmarks, so after the presentation they can review specific parts and share them on social media. Speakers and planners receive detailed analytics regarding which parts of the presentation were the most captured and shared. The system is currently in beta testing. The company expects to launch the public version in January.

Highfive
Highfive

Highfive is new video conferencing system from two former Google engineers. For $799, users get a sleek device that can sit on top of a television or mount to a wall and includes a video camera, microphone array, and HDMI and Ethernet connections to connect to the Highfive online system. Users initiate a video call through the system’s app or browser and send the URL to as many as 10 other participants. Using Bluetooth low energy, the system recognizes if participants are in a room with a Highfive device and then, by swiping across their smartphone screen, the video transfers to the television in the room—without cables. The system also automatically displays video of the person talking.

Check In Easy
Check In Easy

Event technology company Certain Inc. has added a digital signature option to its Check In Easy mobile app. The new Sign and Go feature is suited for events that need to collect signatures for attendance verification, compliance requirements, or gift pickup. The digital signatures can be exported as an alphabetized Excel file that includes a time stamp. Check In Easy is available for iOS and Android and is integrated with other Certain Inc. products.

SmartCrowdz
SmartCrowdz

SmartCrowdz allows planners to set up an event website in minutes using its template-based system. The websites can include event schedules, maps, social media, registration, photos, digital payments, sponsorships, and more. There’s also a task management system that planners can use to track their to-do lists and manage event staff and volunteers. In October SmartCrowdz announced the launch of its event directory, a searchable database that has listings for events in each of the top 200 metropolitan areas in the United States with links to the event websites. SmartCrowdz places ads on event websites and then shares 25 percent of the revenue with planners once they have participated in one of the company’s training webinars.

Topi
Topi

Topi is now integrating attendee tracking into its app through its new Beaconnected service. By communicating with Bluetooth low-energy beacons placed around an event, planners can use the app to track attendee movement and dwell time. They can also configure the app to trigger actions based on guest location, for example sending scavenger hunt clues as guests arrive at precise locations, sending speaker notes immediately after a presentation, or sending a survey as guests exit the venue.

Eventsage
Eventsage

Eventsage is a new tool that helps planners find venues and vendors and then manages communication with the suppliers throughout the planning process. Users select the categories of vendors they need, such as caterers, florists, or audiovisual providers. The system prompts them to enter details, and then it generates a list of recommended suppliers. Planners choose their top three in each category and then the system sends requests to vendors for information and availability. Through what is called the “Sage Board,” planners can manage communication with all of their vendors for multiple events. The system currently includes suppliers in Vancouver and is adding Toronto, Montreal, and Calgary next spring and San Francisco and Seattle by the end of 2015.

Tomorrowland
Tomorrowland

At the Tomorrowland music festival, which took place in Belgium over two weekends in July, R.F.I.D. wristbands replaced admission tickets and also provided a way for the 60,000 daily attendees to connect with one another. Prior to the event, festivalgoers registered their wristbands online and linked them to their Facebook accounts. At the event, if two people near each other pressed the heart-shaped button on their wristbands at the same time, each person's Facebook name was stored in the cloud and then sent in an email to the other person. So each attendee received a daily email of anyone they had met throughout the day. Organizers also illuminated the lights on the bracelets in coordination with some of the musical acts.

Taste of Toronto
Taste of Toronto

At IMG’s inaugural Taste of Toronto festival in July, attendees used R.F.I.D.-enabled cards to purchase food and beverages from vendors at the event. The cards were provided by IntelliPay, a division of Intellitix. Guests could go online before the event to load money onto the card, and they could also add funds at stations throughout the festival. At the end of the festival, balances remaining on cards were donated to Second Harvest Food Rescue. Each individual’s online account also provided a history of all food and beverage items purchased.

For Montreal’s C2MTL—Commerce & Creativity conference in May, Connect & Go created badges embedded with U.H.F. tags. Unlike N.F.C., which is intended for very close communication, U.H.F. tags can be read from as far away as 30 feet. As the 4,000 attendees passed through the main entrance, U.H.F. readers embedded in the gates instantly read their badges and alerted security personnel with either a green or red light to indicate whether they were approved to enter. Organizers also hung three U.H.F. “chandeliers” on the show floor. The devices could read attendee activity within a 30- by 30-foot zone, tracking when people arrived, how much time they spent in the area, and who else was there. Organizers received real-time information on tablets, so they could make adjustments as necessary, for example to ensure the most heavily trafficked food stations had enough staff and products.

At EMC World in May in Las Vegas, organizers used N.F.C. badges from ITN International to manage the distribution of conference bags filled with valuable gifts such as GoPro cameras and iPods. As attendees went to the bag pickup area, staff scanned their badges with a smartphone to determine which bag they should receive. The data was stored to ensure that the badge could not be used to obtain additional gift bags. ITN’s system also saved the activity so if a badge had to be reprinted, it still indicated that the attendee had received a bag.

At the Ryder Cup, set for September 23 to 28 in Scotland, guests will use R.F.I.D. wristbands from Intellitix for a variety of interactive experiences. In partnership with Active Scotland, a government initiative to promote physical activity, guests will be encouraged to walk the course and check in at various stations for a chance to win prizes. The wristband will track the distances they cover and will also post updates to social media. Guests will also be able to give a “virtual high five” to either the European or United States team by touching their wristbands at specified points, which then registers their support on a leaderboard. Guests who own BMWs will be able to use their wristbands to enter the company’s “Owners’ Cafe” at the 10th hole and spend preloaded tokens.

At the Bonnaroo Music and Arts Festival in Tennessee in June, organizers partnered with Microsoft to allow guests to create a photo history of their festival experience. Prior to the event, guests went online to register their R.F.I.D. wristbands and link them to a Microsoft OneDrive account. Then each time they swiped their wristbands at photo booths around the event, the pictures automatically uploaded to the online account. Guests could also swipe their wristbands at stations near each stage to receive a photo of the performance in their OneDrive accounts. Intellitix provided the wristbands.

Private Event at Umaid Bhawan Palace

During a private event for 300 people in India, Bart Kresa worked with producer DNA Networks to transform Jodphur’s renowned palace, the Umaid Bhawan, into an eye-popping showcase using digital technology. The 347-room palace, architecturally inspired by the Palace of Versailles, served as a projection surface spanning 400 feet wide by 120 feet high. In just three weeks of prep time, Kresa’s team conceptualized, designed, painted, and animated enough content for a full six-hour evening. Images including waterfalls and Egyptian scenes—14 unique designs in all—were carefully layered and sequenced to create a seamless transition from one environmental animation to the next.

Christie Digital at the Palm Expo 2014

At the Palm Expo, India’s largest trade show for audiovisual and live entertainment, Bart Kresa Design teamed up with Christie Digital for its exhibit. The team generated big buzz by creating an immersive environment using 3-D, stereoscopic, and traditional digital video art. The result was a seven-minute live performance that was shown every half hour for three days during the expo. To view the show, which was projected within a domed, custom-built stage, attendees donned 3-D glasses and entered a virtual word inhabited by a lone dancer who became enveloped within different fantasy environments. Within these, another layer of visual elements—swaying lanterns, moving particles—created a 3-D effect against the 2-D background.

2014 AMC Upfront

For its 2014 upfront, AMC aimed to live up to its mantra of “Something More” by going above and beyond the typical presentation. The network worked with Empire Entertainment to bring an audience of 600 to an interactive dinner theater event at Pier 36 Basketball City in New York. Throughout the night, a cast of 80 actors worked alongside 360-degree screen content, displayed on a 250-foot custom-crafted screen with 24 projectors. Video segments were reconstructed from AMC’s original program files and reformatted to fit the large resolution. The segment for AMC’s newest series, Turn, featured a panoramic animation sequence that slowly drifted from present-day Manhattan into 1776, the show’s setting. As gunfire broke out on the screen, actors dressed as soldiers ran through the dining room holding muskets.

It’s a freestanding, ground-supported backdrop system built to work like Lego building blocks.
